Office Manager

Energy Alternatives is currently searching for an office manager to join our team and keep us organized and efficient. This opportunity is best suited to someone who is looking for long-term, stable employment. You would be expected to have a keen sense of what projects are underway and upcoming, working with sales, purchasing and installation staff for successful shipments and installations, keeping their fingers on the pulse of the organization.


• Minimum of 5 years experience in a similar industry - ie hardware store, or mechanical services organization that handles inventory, sales, repairs and installations. This is not an entry level position.
• Extremely comfortable and skilled incomputerized accounting systems and general office technology is essential.
• Familiarity with rural living, electrical, mechanical or construction businesses is an asset.
• Must be able to clearly and professionally communicate with staff and customers.

Job Description

• First point of contact for phone, email and walk-in clients.
• Customer service - advising clients on status of orders, processing returns, repairs, etc.
• Processing customer orders (web, phone, walk-in).
• Shipping and receiving.
• Maintaining efficient and organized filing systems.
• Booking meetings, service calls or installations.

• Processing mail, bills, data entry.
• Receiving customer payments and preparing bank deposits.
• Monthly customer statements, collections.
• Maintain accurate inventory, schedule regular inventory counts.
• Customer Billings - track jobs, ensure billed out timely and collections.

Purchasing / Inventory control
• Processing Purchase Orders for regular and special order items.
• Maintaining accurate costing information from vendors.
• Ensure inventory levels are maintained at defined levels.
• Following up on Purchase Orders to ensure timely delivery.
• Shipping logistics, inbound and outbound, drop ship, customs paperwork.
• Facilitating product returns, defect, repair, over-stock.

Website / Marketing
• Maintaining product database, including images, spec sheets, and descriptions.
• New products brought online, revised, etc.
• Maintain online directory listings.

Physical Location

Energy Alternatives is located on a rural acreage in the Bulkley Valley, between Smithers and Houston, BC. A brand new office and shop was custom-built in 2013. The new space is comfortable and efficient, featuring a heated floor for comfort.

Telecommuting is possible occasionally during slower times, though the nature of the job does require a physical presence in the office most of the time.

Transportation allowances and/or company vehicle are options to be discussed. On-site housing is also a possibility to explore.

Seasonal variations in workload offer the potential to shift this position to part-time during the off-season, pending workload.
